Who is responsible
Swift Flows is responsible for personal data used for its own website, enquiries, proposals and customer administration.

What we use and why
- Enquiries: your name, business details, email and anything you send us, to answer your question and prepare a proposal.
- Customers: contact, contract, invoice and service information, to deliver the agreement and meet legal accounting duties.
- Website security: limited technical logs such as IP address, request time and browser information, to keep the website reliable and secure.
- Appointment services: when Swift Flows handles data about a customer's callers or clients, that business remains responsible and Swift Flows acts under a processor agreement.
- Businesses we approach: business name, address, phone number, email address and public business information, to judge whether a website would be useful to you and to get in touch.
This website currently has no enquiry form, advertising tracker or non-essential analytics cookie.
If we contact you without you approaching us
Swift Flows approaches businesses in South Holland with a website proposal. The details we use come from public sources: your Google Business Profile, your own website and your public social media pages. We do not buy contact lists and we do not use data from non-public sources.
The legal ground is our legitimate interest in bringing our service to the attention of businesses it is relevant to. We contact you on your business contact details, not on private ones.
Every first message tells you how to say you would rather not hear from us. If you tell us, in any words, we add your contact details to a block list and you will not hear from us again, on any channel, including if your business comes up again later. We keep that block list precisely so we can go on honouring it. If you do not reply, we delete your details no later than twelve months after the last message. You can ask to see or delete your data at any time via tom@swift-flows.nl.
Legal grounds and retention
We use data where it is needed to take steps at your request, perform a contract, meet a legal duty, or protect the legitimate interest of operating a secure business or of our own business development. Enquiries are normally removed two years after the last contact. Financial records are retained for the statutory tax period. Service data is kept only for the agreed period.
Suppliers and transfers
Data is shared only with suppliers needed for hosting, email, telephony, messaging, payments or business administration. Processor agreements and, where needed, approved safeguards for transfers outside the EEA are used.
Your rights and complaints
You may ask to access, correct, delete, restrict or transfer your data, or object to its use. Email tom@swift-flows.nl. You may also complain to the Dutch Data Protection Authority.
